Our client is a leading HVAC service company and they are seeking a reliable and self-motivated Office Administrator to join their team.
Shift: 8am-5pm or 7am – 4pm
Location: Scarborough, ON – Fully Onsite
Summary of Role:
In this role, you will undertake vital administrative tasks to ensure our staff has the support needed to work efficiently and contribute to our sustainable growth.
Responsibilities:
Prepare and email quotations and proposals.
Draft and submit contracts to customers.
Create and send email blasts to customers.
Source quotes for equipment, materials, and parts from suppliers.
Maintain clear and professional communication with clients.
Handle filing, respond to emails, and prepare documents.
Utilize QuickBooks for financial management.
Assist the owner and office manager with daily tasks.
Create detailed reports after job completion.
Generate WSIB Clearance Certificates and obtain Insurance Certificates.
Answer phones and provide excellent customer service.
Assist with dispatching and order equipment and materials for technicians.
Qualifications:
5+ years in a similar administrative role.
3+ years in a similar HVAC role.
Superior oral and written communication skills in English.
A passion for delivering exceptional customer service.
Ability to manage multiple tasks concurrently with attention to detail.
QuickBooks Online expertise.
